Terms of Service
Last updated: October 2026
These Terms of Service ("Terms") govern your access to and use of SupplierCore. By purchasing a subscription or using an account set up for you, you confirm that you have read, understood and agree to be bound by these Terms, our Privacy Policy, our Acceptable Use Policy and our Data Processing Agreement. If you are accepting on behalf of an organisation, you represent that you have authority to bind that organisation.
1. About us
SupplierCore is operated by SafetyCore Ltd (registration pending), trading from Nantwich, Cheshire, United Kingdom. In these Terms, "we", "us" and "our" refer to SafetyCore Ltd. "You" and "your" refer to the organisation that subscribes and the people it gives access to. Contact: [email protected]
2. Service description
SupplierCore is a cloud-based supplier approval and specification management service for UK food manufacturers, providing tools for:
- Supplier records, risk ratings and approval decisions
- Document requests and expiry tracking for certificates, insurance and statements
- A portal where your suppliers upload documents, answer questionnaires and sign specifications
- Raw material records and risk assessments, including food fraud vulnerability
- Raw material and packaging specifications, with versioning and sign-off
- Built-in microbiological and chemical standards for material groups
- Corrective actions, reports and an audit trail
Important: SupplierCore is a record-keeping and management tool. It does not provide legal, regulatory or professional food safety advice. It does not guarantee any specific audit outcome, certification result or regulatory compliance. Details read from uploaded certificates are suggestions that a person must check; the built-in standards are a starting point that your technical team must check against your HACCP plan and current legislation. You remain solely responsible for the safety of your food products, your supplier approval decisions and compliance with all applicable laws and regulations.
3. Your responsibilities
You are responsible for:
- The accuracy, completeness and appropriateness of all data you enter
- Having a lawful basis for the personal data of your suppliers' contacts that you record, and handling it in line with UK GDPR
- Ensuring supplier approvals, risk assessments and specifications are reviewed by appropriately qualified people
- Checking every document, certificate detail and standard before relying on it
- Maintaining compliance with all applicable food safety legislation, including Regulation (EC) 852/2004 as retained in UK law, the Food Safety Act 1990, and any BRCGS, SALSA, FSSC 22000, IFS or SQF requirements that apply to you
- Managing user access, including your suppliers' portal access, and assigning appropriate roles
- Keeping your account credentials secure and not sharing them
4. Subscription and payment
Pricing: SupplierCore is priced per organisation by the number of sites that use it: Starter (1 to 3 sites) £99 a month or £990 a year; Group (4 to 6 sites) £199 a month or £1,990 a year; Enterprise (7 to 10 sites) £299 a month or £2,990 a year. Organisations with more than ten sites are priced by agreement. "Site" means one physical manufacturing, processing, packing or storage location. Every plan includes unlimited users, suppliers, raw materials and specifications. If the number of sites using SupplierCore grows beyond your plan, we will move you to the plan that fits from your next renewal, after telling you first.
Payment: Card payments are processed securely by Stripe. We do not see or store your card details. Invoice payment on 30-day terms is available for annual subscriptions on request.
Account set-up: After payment we set up your organisation within one working day and email your administrator a link to sign in.
Renewal: Subscriptions renew automatically at the end of each billing period, monthly or yearly.
Cancellation and refunds: You can cancel at any time by emailing [email protected]. Your subscription then runs to the end of the period you have paid for and does not renew. Monthly subscriptions are not refunded for part-used months. Annual subscriptions carry a 30-day money-back guarantee from the date of first payment.
All prices are in GBP. VAT is not currently charged. Prices may become subject to VAT once SafetyCore Ltd is VAT registered, and customers will be told in advance.
Your suppliers never pay to use the supplier portal.
5. Service availability
We aim to keep SupplierCore available at all times but do not guarantee uninterrupted service. We may perform maintenance with reasonable notice. We are not liable for any loss arising from service interruption.
6. Intellectual property
All intellectual property in SupplierCore, including software, design, documentation, the built-in standards, ingredient list and questionnaires, remains our exclusive property. Your subscription grants you a non-exclusive, non-transferable licence to use the service for its intended purpose during the subscription period.
Your data remains yours. We claim no ownership of any content you or your suppliers create or upload.
7. Standards and third-party trademarks
BRC, BRCGS, FSSC 22000, IFS, ISO 22000, SQF and SALSA, together with any related logos, are trademarks of their respective owners. SupplierCore is an independent product and is not affiliated with, endorsed by, approved by or certified by any of these standards bodies or certification schemes. References to these standards are descriptive only. To be audited or certified against a standard you must obtain a current, licensed copy of it from its owner.
8. Data and privacy
Your data is processed in accordance with our Privacy Policy, our Data Processing Agreement and the UK Data Protection Act 2018 / UK GDPR. Each organisation's data is kept apart at database level. You may export your registers at any time as CSV from within SupplierCore. Upon cancellation, we will hold your data for 90 days before deletion unless you request earlier removal.
9. Limitation of liability
To the maximum extent permitted by law:
- We are not liable for any audit failure, loss of certification, regulatory action, product recall, supplier failure or any consequence arising from your use of or reliance on the service, including details read from certificates and the built-in standards
- We are not liable for any indirect, incidental, special or consequential damages
- Our total liability for any claim is limited to the fees you have paid in the 12 months preceding the claim
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
10. Termination
You may cancel your subscription at any time. We may suspend or terminate your account if you:
- Breach these Terms or the Acceptable Use Policy
- Fail to pay fees when due
- Become insolvent or enter administration
On termination, your access will cease but your data will be available for export for 90 days.
11. Changes to these Terms
We may update these Terms from time to time. We will notify you of material changes by email at least 30 days before they take effect. Continued use after the effective date constitutes acceptance.
12. Governing law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
